Can my AI Receptionist qualify leads from callers?

Learn how to use Beside’s Qualify Leads feature to have your AI Receptionist ask custom questions and collect caller information using conversation scenarios.

With Qualify Leads, your AI Receptionist can ask tailored questions based on the context of a call, for example a new client inquiry, a booking request, or a quote request.

This helps you capture the right details upfront, without any manual follow-up.


How it works

Qualify Leads lets you teach your AI Receptionist what to ask depending on why someone is calling.

When a call comes in and your AI Receptionist answers, it will:

  1. Detect the caller's intent

  2. Match the call to one of your Scenarios

  3. Ask the questions defined for that Scenario

  4. Save all answers in the Call Summary, ready for you to review

Each Scenario represents a type of call and defines the questions your AI Receptionist should ask.

Each Scenario has:

  • a purpose (when it should be used), and

  • a list of questions to collect the right information.

Create new scenarios

➡️ Steps (iPhone & Android)

  • Open Beside → go to the AI tab

  • If you’re on the 👥 Business plan, select the relevant inbox from the dropdown at the top left.

  • In the 📞 Phone section, scroll down to Actions

  • Tap

    • Qualify Leads on iPhone📱

    • Collect Information on Android 🤖

  • Tap the ➕ icon

  • Add a Scenario:

    • Give your scenario a clear name. Example: “Understanding the customer”

    • Add context and instructions for your AI Receptionist. Example: “Ask these questions when speaking to a new customer”

    • Add the questions you want the AI Receptionist to ask. Example: “What’s your full name?”

  • Tap Save, then Done

Edit existing scenarios and questions

From Qualify leads, you can:

  • Add new Scenarios

  • Edit existing Scenarios and (name, description, questions)

  • Delete Scenarios you no longer use

You can update or refine Scenarios at any time. Your AI Receptionist will automatically use the latest version on the next call.

⚠️ Important

  • If you’ve previously added questions to your AI Receptionist Welcome Greeting or included them in Custom Knowledge, we recommend removing or updating them to avoid your Receptionist asking the same question twice.

  • The Qualify Leads feature handles this in a cleaner and more structured way.

FAQs

My AI Receptionist isn’t asking callers to spell their name or email, how can I fix it?

If your AI Receptionist isn’t prompting callers to spell their name, email address, or phone number, it may be due to how your Scenario is written.

The AI Receptionist relies on the description to know when to trigger the questions.

➡️ To fix this:

  • Open Beside → go to the AI tab

  • If you’re on the 👥 Business plan, select the relevant inbox from the dropdown at the top left.

  • In the 📞 Phone section, scroll down to Actions

  • Tap

    • Qualify Leads on iPhone📱

    • Collect Information on Android 🤖

  • Tap the scenario you created

  • Update the Scenario description so it clearly explains when this scenario should be used.

  • Adjust your question format to directly ask for the information and the spelling:

    • “Can you state your name and spell it for me?”

    • “Could you tell us your email address and spell it?”

Once the description is clear, the AI Receptionist will correctly detect the situation and ask the spelling questions during the call. ✅
