How do I make my AI Receptionist collect information from callers?

With the Collect Information feature, your AI Receptionist can automatically ask customized questions based on the context of a call - such as a new client inquiry, booking request, or service quote.

This helps you capture key details upfront, without any manual effort.


🧭 Access your Collect Information settings

  1. Open the Beside app on your phone.

  2. Go to the Settings tab.

  3. Under the Phone section, tap AI Receptionist.

  4. In the General tab, tap Collect Information in the Essential section.

From there, you can view, create, or edit the Scenarios your AI uses to guide conversations.


💡 What's the "Collect Information" feature?

“Collect Information” allows you to teach your AI Receptionist what to ask depending on why someone is calling.

Your AI Receptionist ask callers a specific set of questions based on the purpose of their call. These are called Scenarios.

Each Scenario represents a type of situation and comes with its own list of questions, so your receptionist collects the right details for every situation.

For example:

  • “New client inquiry”

  • “Appointment request”

  • “Property viewing”

  • “Support call”


🤔 How does it work?

When someone calls and your AI Receptionist answers, it will:

  1. Detect the caller's intent

  2. Match it to one of your Scenarios

  3. Ask the specific questions you've set up for that Scenario

  4. Save all responses in the Call Summary, ready for you to review later.


✏️ How do I create or edit Scenarios?

From your Collect Information settings, you can:

  • Add a new Scenario (e.g. “Property inquiry”)

  • Edit existing Scenarios (update names or questions)

  • Delete Scenarios you no longer use

Or, if supported on your device, open directly via: beside://settings/vmr_collect_information

To add a new scenario:

  1. Tap the + Add Scenario button.

  2. Give it a clear name (e.g. “New client request”).

  3. Add your custom questions (see below).

  4. Tap Save.


💬 Customize the questions asked

Inside each Scenario, you can:

  • Tap + Add Question to create a new prompt

  • Edit any existing question

  • Reorder questions by dragging

  • Delete any question that's no longer needed

Examples of useful questions:

  • What's your name?

  • What are you looking to book?

  • How should we contact you?

🛠️ Need to change something later?

No problem! You can update or refine Scenarios at any time, the AI Receptionist will automatically use the latest version on the next call.

⚠️ Important

If you've previously added questions to your AI Receptionist greeting or included them in Custom Knowledge, we recommend removing or updating them to avoid your receptionist asking the same question twice. The new Collect Information feature handles this in a cleaner, more structured way.
