Reply to a negative review

How to answer a bad Google review so the next customer still calls you, with trades and cleaning examples, and how Beside drafts the reply in your voice.

A bad review stings, and the first urge is to defend yourself. But your reply is not really for the person who wrote the review. It is for the next customer who scrolls your profile, stops at the one-star, and reads what you said back.

A calm, specific reply tells that reader a real person runs the business and owns mistakes. Silence, or an argument, tells them the opposite. This article covers what a good reply does, with examples, and how Beside helps you write and post it.

Why the reply matters more than the review

People comparing two or three businesses often read the bad reviews on purpose, to see the worst that can happen. One unhappy review among many good ones looks normal. What puts them off is a complaint nobody answered, or a reply that picks a fight.

A good reply to a bad review can reassure a reader more than another five-star. It shows how you behave when something goes wrong, which is exactly what they want to know before letting you into their home.

Your reviews also count toward how Beside scores your visibility: your rating, how many new reviews you get each month and how many you answered. 📖 Understand your Visibility score

💡 Angry? Wait an hour:

  • Let Beside draft the reply, then come back to it once the sting has passed. A reply written in the heat of the moment is the one owners regret.

What a good reply does

  • Thanks them. Use their first name and thank them for telling you.

  • Owns it. Apologise plainly for what they describe. No excuses, and never blame a named employee.

  • Says what changes. One sentence on what you are doing so it does not happen again.

  • Keeps private details private. Never mention their address, what they paid, or anything from your records. If it needs a real conversation, offer to continue it privately.

  • Does not argue. Even when they have the facts wrong, a public back-and-forth only makes you look worse.

  • Stays short. Two to four sentences, signed with your business name. No discounts or refunds offered in public.

Examples

The review

A reply that works

Plumber, 2 stars: "Showed up two hours late and never called."

"Hi Mark, you're right, we should have called the moment we knew we were running late, and we're sorry we didn't. We've changed how our office updates customers so it doesn't happen again. Thank you for telling us. Rivera Plumbing"

House cleaning, 1 star: "They skipped both bathrooms."

"Hi Dana, we're sorry the bathrooms were missed. That isn't the clean you booked. Every visit now ends with a room-by-room check before the team leaves. Thanks for letting us know. Bright Home Cleaning"

Electrician, 1 star: "The tech left a live wire hanging out of the wall."

"Hi Sam, thank you for raising this. Safety comes first for us, and our owner wants to look into it with you directly. Please reach us on our usual number so we can follow up today. Volt Electric"

The first two own the problem and name the fix. The third is a safety complaint, so it does not debate anything in public and moves the conversation offline straight away.

How Beside drafts your reply

Beside drafts a reply to each new Google review once your Google Business Profile is connected. You find your reviews under Business Profile in the left menu, in the Replies view.

It learns your voice

Beside picks up your tone, length, greeting and sign-off from three places: drafts you edited before approving, replies you wrote yourself in Beside, and replies written directly on Google. It prefers your replies to reviews like this one, so your answers to bad reviews shape its next one. A draft you approve without changing a word does not count, because that is Beside's voice, not yours.

💡 Fix the tone early:

  • Editing one or two early replies the way you would write them is the fastest way to make every later draft sound like you.

Pick a tone

When you open a reply, three chips set its direction: Warm thanks, Apologise and fix and Short. For a 1 to 3 star review, Apologise and fix is already selected. Select Generate draft (or Regenerate), edit anything you like, then Post to Google.

What every draft for a bad review does

  • Apologises plainly for the experience described, then acknowledges what went wrong without blaming a named person or admitting legal fault.

  • Says it is being fixed so it will not happen again.

  • Never disputes the facts, accuses the reviewer of lying, quotes private customer details, or offers a discount, refund or link.

  • Does not ask the reviewer to call you, except for a serious health, safety, discrimination or legal complaint. Then it invites them to continue privately through your normal contact details. You can always add your number yourself when you edit.

📌 Google checks replies before showing them:

  • A reply usually appears within minutes, but Google says its review can take up to 30 days. A reply that is not visible yet has not been lost.

Decide who presses Post

Review replies belong to the Reviews & Google profile area in Settings → Autonomy.

  • Always ask (where everyone starts): every reply waits for you in Review, in Chat, until you approve it.

  • Always allow: Beside posts replies without waiting for you.

  • Deny: Beside never posts replies and stops suggesting them.

📌 Always allow includes bad reviews:

  • There is no separate switch for 1 to 3 star reviews. On Always allow, Beside posts those replies on its own too. If you want to read every reply to a complaint before it goes out, keep the area on Always ask.

Yelp reviews

Yelp gives no way for Beside to post a reply, so you post Yelp replies yourself. If you connect your Yelp page, Beside reads it every week and keeps one to-do, Reply to unanswered Yelp reviews, with a reply drafted for each recent review that has none.

  • Select Copy reply, open the review on Yelp, paste it and post it.

  • Select Mark as done when you are finished, or I won't reply to skip.

Answered reviews drop off the to-do on the next read, and it closes by itself once none are left.

📌 Beside never asks customers for Yelp reviews:

FAQ

Can Beside reply to negative reviews without me?

Only if you put Reviews & Google profile on Always allow. On Always ask, every reply, good or bad, waits for your approval.

Why doesn't the draft ask the customer to call me?

For an ordinary complaint, the draft focuses on owning the problem and the fix, which is what readers judge you on. It only invites a private conversation for serious health, safety, discrimination or legal complaints. If you want your number in the reply, add it when you edit the draft.

The review is fake, or from someone who was never a customer. Should I reply?

Yes, briefly and calmly, for the readers who will see it. Say you cannot find a record of their visit and invite them to get in touch. You can also report the review to Google if it breaks Google's rules.

Will replying change my rating or remove the review?

No. Only the customer can edit or delete their review. Some customers do update a review after a good reply and a fix, but nobody can promise that.

How quickly should I reply?

Within a day is a good habit. The longer a complaint sits unanswered, the more people read it with no reply next to it.

Does a review reply use credits?

Each review reply Beside posts to Google uses 50 credits. Drafts are free, and so are Yelp replies, which you post yourself. 📖 Understand your plan and credits
