Can I share my Beside inbox with my team?

Yes, you can share your Beside inbox and phone line with your team members.

With the Business plan, you can collaborate in real time on calls, messages, voicemails, and AI Receptionist activity, all from the same shared phone number.


✨ How team collaboration works

When you sign up, Beside automatically creates your first inbox. This is where all your calls, messages, and AI Receptionist activity live.

Upgrading to the Business plan lets you:

  • Add up to 5 inboxes total, each with its own phone number and AI Receptionist

  • Invite up to 15 team members to collaborate on an inbox

  • Manage calls, messages, and AI Receptionist activity together

  • Create group chats for internal discussions right in Beside

It’s the easiest way for individuals or small teams to manage several lines, and work together seamlessly.


👥 How to invite team members to your inbox

  • Open the Beside app

  • Go to Settings → Inboxes

  • Tap the inbox you want to share → Customize Inbox

  • Tap Members → Invite

  • Share the invite code: you can copy and paste it, or send it via messages, email, or any other channel.

Your team member will receive an invitation with a tappable link and a unique code. They’ll simply need to:

  • Tap the link

  • Enter the code

  • Follow the on-screen steps to complete setup

ℹ️ Once they’ve joined the inbox, they’ll have access to its full history, including calls, messages, voicemails, and AI Receptionist interactions.

✅ You can invite up to 15 team members to any inbox under your Business subscription.


🧩 What your team members can do

Team members have full visibility into everything that appears in your Beside inbox, including:

  • Calls & call summaries

  • Messages

  • Voicemails

  • Voice memos

  • AI Receptionist call logs & transcripts

They also have access to the entire conversation history, not just activity that happens after they join.

🔒 What remains private

  • Your device’s contact list stays private

  • Even if you granted Beside access to your phone contacts, team members only see phone numbers.

  • However, they will see phone numbers of people you've called or messaged through Beside, to help with collaboration - without exposing your full contact list.

There is currently no way to hide specific calls or messages from team members.

ℹ️ Reminder:

  • If you’re forwarding calls from your existing number (for example, your business number) to Beside, forwarding only applies to calls.

  • Texts sent or received on your existing number - outside of Beside - will not appear in your inbox or be visible to your team.


❓ FAQ

Does my team members need to receive the invitation at the same email they use for their Beside account?

No. The email used to receive the invitation does not need to match the email associated with the future Beside account.

When you share an invitation to join an inbox, Beside simply generates a link and code that you can send through any channel you prefer, email, text message, WhatsApp, Slack, etc.

The email address used to receive this link/code is not tied to the Beside account in any way. What matters is only that the invited team member uses the link or code in the Beside app to join the inbox.

Can my team members make calls and send messages from the shared number?

Yes. Anyone you've invited to the Business plan can make and receive calls, listen to voicemails, and send and receive messages - all using the shared Beside number.

How are incoming calls directed to my team?

When someone calls your shared Beside number, the call rings on all team members’ devices at the same time. Any team member can answer. Once the call ends, everyone will receive the call note and summary to stay aligned and keep context.

Can my team handle multiple calls simultaneously?

Yes, all from the same number. No missed opportunities - just seamless teamwork.

Can I control who replies to what?

Not at this time. All team members have equal access and visibility into messages and calls. There are no roles or permissions yet.

Can I use different voicemail greetings per team member?

No. The inbox uses one shared voicemail greeting for all callers.

Who gets notified when a new call or message comes in?

Everyone who has access to the shared inbox will receive the same notifications for new calls, messages, voicemails, and call summaries.

Do notification settings apply to everyone in a shared inbox?

Yes. Notification Schedule is an inbox-level setting. Notification Schedule controls when Beside should ring and notify your team, and when it should stay quiet.

Any change made by any team member applies to everyone in that shared inbox. This is intentional so teams stay aligned on working hours and notification flow.

Notifications settings for Daily recap time and Email notifications live outside the inbox, such as your phone's native push notification permissions. These settings affect only your device and do not impact your team members.

Will my team members see my past messages and calls?

Yes. Once they join your inbox, your team members will have access to your entire Beside history - not just messages or calls received after they joined.

Can my team members see my contact list?

No. Your saved contact list remains private. Even if you've allowed Beside to access your phone contacts, your team members will only see phone numbers of people you've called or messaged through Beside.

Can I hide specific calls or messages from my team?

No. There's currently no way to hide specific messages or calls from your team. If it's in your Beside inbox, it's visible to your invited members.

What happens if I forward my existing number to Beside?

Only calls are redirected and logged in Beside. Texts sent or received on that number - outside of Beside - will not appear in your inbox or be visible to your team.

How many team members can I invite to join my inbox?

You can invite up to 15 team members to your inbox with the Business plan.

Can I remove someone from the shared inbox?

Yes. You can remove team members at any time. Once removed, they'll no longer have access to your inbox history or future conversations.

Can I switch back to the Starter plan later?

Yes. You can downgrade to the Starter plan at any time from your Settings. Just note that your team members will immediately lose access to your inbox when you do.
